The Workplace Manager will play a pivotal role in ensuring the smooth and efficient operation of the office environment in Roseville, MN. This role involves leading both onsite teams and contractors, managing the day-to-day workplace needs, coordinating with vendors and service providers, overseeing maintenance tasks, and ensuring the facility is fully functional and well-stocked. The Workplace Manager will work closely with onsite teams, contractors, and regional leadership to ensure that all workplace services meet the required standards and support a high-quality office experience.
HOW YOU'LL SPEND YOUR TIME HERE
Facilities Management & Maintenance (Roseville, MN)
Oversee and manage building maintenance, landscaping, janitorial services, and repairs by coordinating with technicians, vendors, and contractors.
Manage the work order log and ensure all work requests are completed in a timely and accurate manner, liaising with both onsite and landlord staff as needed.
Schedule and maintain logs for office systems maintenance (e.g., HVAC, plumbing, electrical), ensuring compliance with service agreements and addressing any repair needs proactively.
Vendor & Contractor Coordination
Meet with vendors regularly to ensure service levels are maintained, address any performance issues, and build strong, reliable relationships.
Obtain and review price quotes for parts, services, and labor for building projects or repairs, submit proposals to the Senior Facilities Manager for approval, and ensure budget compliance.
Workplace Services & Stock Management
In partnership with the day porter, ensure all food and beverage services are adequately stocked and replenished in a timely manner, keeping track of inventory levels.
Coordinate and manage regular orders to ensure that workplace supplies are well-maintained and readily available for staff use.
Event Coordination & Moves/Changes Management
Lead the setup and teardown of workplace events, ensuring seamless execution and meeting the needs of the team.
Action all workplace moves, adds, and changes (e.g., office seating arrangements, desk moves) to ensure proper reconfigurations within the office.
Procurement & Financial Oversight
Work with vendors and suppliers to obtain competitive price quotes for services and materials needed for office repairs and projects.
Collaborate with the Senior Facilities Manager to ensure all procurement processes align with the workplace budget and gain necessary approvals.
Workplace Optimization & Compliance
Ensure that all building systems (mechanical, electrical, plumbing) are functioning optimally, coordinating preventative maintenance as needed.
Assist in maintaining a safe and compliant workplace environment, addressing any facility-related issues promptly.
Other
Leads a team of full-time employees and contractors, managing shifts, performance, and development of the team.
Backs up the receptionist as needed
WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING
Bachelor’s degree in facilities management, business administration, or a related field (preferred).
5+ years of experience in facilities management or workplace operations, including vendor and maintenance management.
People management experience.
Strong organizational skills with the ability to manage multiple projects and work orders simultaneously.
Excellent communication and interpersonal skills, with the ability to work with diverse teams, vendors, and contractors.
Proficiency in managing work order systems and familiarity with vendor procurement processes.
Basic understanding of building maintenance systems (HVAC, electrical, plumbing) is a plus.
Ability to attend the office in person 5 days a week.
Ability to lift 12 kilos / 27 pounds
Preferred Qualifications:
Experience with vendor management in a corporate environment.
Prior experience with office moves, event coordination, and workplace reconfiguration.
Familiarity with budget management and procurement processes for facilities operations.
Disclosure Pursuant to Applicable State Equal Pay Transparency Laws - This position has a starting pay range as listed below. Actual salary depends upon many factors, including a candidate’s skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants.
