The Executive Briefing Center Coordinator is responsible for orchestration the operations behind executive meetings hosted at the Executive Briefing Center (EBC) and delivering exceptional experiences for our most strategic customers. This role requires a detail-oriented, customer-focused professional with strong organizational and interpersonal skills. The ideal candidate thrives in a fast-paced environment, is comfortable working with executive stakeholders, and is committed to delivering high-impact engagements.
This hybrid role requires working from our Santa Clara, CA headquarters office, 3 days a week.
HOW YOU’LL SPEND YOUR TIME HERE:
Provide concierge-level service to customers, including greeting and escorting guests (in-person or virtual).
Coordinate logistics for customer engagements: scheduling, catering, lodging, transportation, and other special requests.
Prepare meeting spaces and materials: agendas, name tents, badges, A/V setup, personalized collateral, and welcome screens.
Manage the briefing platform to ensure accurate and branded engagement details.
Provide on-site support and initial troubleshooting during briefings.
Collect and analyze feedback from participants
Oversee EBC room maintenance and inventory in partnership with Facilities teams.
Maintain inventory of supplies and customer giveaways.
Manage vendor relationships for catering, hotels, transportation, and gifts.
Support ad hoc requests from customers and account teams.
Handle Purchasing Orders and tracking expenses.
WE’D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:
Minimum of 2 years of experience in executive briefing center, events, hospitality, preferably in a high-touch, executive-facing environment.
Demonstrated ability to leverage AI tools to enhance productivity, streamline workflows, and support decision making.
Resourceful problem-solving.
Exceptional attention to detail.
Proven ability to build relationships across all levels, including executives.
Customer-first mindset with a proactive, results-driven approach.
Ability to manage last-minute changes and remain composed under pressure.
Professional demeanor and appearance.
Positive, outgoing attitude.
Strong execution and multitasking skills.
Excellent written, verbal, and interpersonal communication.
Self-starter with a high sense of ownership.
Experience with Microsoft Products (Outlook, Word, Excel)
Prior experience with event management.
Must be willing to work in-office three days a week in Santa Clara headquarters.

Bachelor’s degree or equivalent experience.
Prior experience in customer-facing or executive engagement roles.
Experience with briefing platforms like Briefing Edge or Briefing Source.
Prior experience in an Executive Briefing Center.

Disclosure Pursuant to Applicable State Equal Pay Transparency Laws - This position has a starting pay range as listed below. Actual salary depends upon many factors, including a candidate’s skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants. Additionally, full-time employees are eligible to participate in our comprehensive benefits framework, including health and wellness benefits, vacation, paid holidays and refresh days, 401(k) retirement plan, life and disability insurance coverages, and other benefits the Company may offer from time to time.
Pay Range :
The compensation noted above is based on an annualized hourly rate assuming normal full-time employment.
