We are seeking a highly organized and detail-oriented Spare Parts Planner to manage global spare parts planning and logistics. This role is critical to ensuring timely delivery of parts to support customer service levels, including next business day and 4-hour response windows. The ideal candidate will have strong analytical skills, proficiency in Microsoft Excel and other MS Office applications, and experience working with Salesforce and Key Performance Indicators (KPIs) related to spare parts operations.

This position works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. The planner will exercise judgment in selecting methods, techniques, and evaluation criteria to obtain results, and will network with key contacts outside their area of expertise. Responsibilities directly impact the achievement of key functional and company objectives and contribute to the development of departmental goals. Erroneous decisions or recommendations could result in the inability to meet functional objectives and negatively affect expenditures and resource allocation.

Key Responsibilities:

  • Plan and coordinate global spare parts inventory to meet customer service commitments (NBD and 4-hour SLAs).
  • Monitor and optimize inventory levels across multiple regions to ensure availability while minimizing excess.
  • Utilize Microsoft Excel and other MS tools to analyze data, forecast demand, and generate reports.
  • Maintain accurate records and documentation in Salesforce, ensuring timely updates and tracking of parts movement.
  • Communicate effectively via email with internal stakeholders, suppliers, and customers to resolve issues and provide updates.
  • Track and report on Key Performance Indicators (KPIs) such as fill rate, inventory turnover, backorder rate, and delivery performance.
  • Support continuous improvement initiatives in spare parts planning and logistics processes.

  • Organizational and Time Management Skills – Effectively manage multiple field service events, coordinate resources, and meet deadlines within defined SLAs.
  • Problem-Solving and Critical Thinking – Quickly identify issues, analyze potential solutions, and implement corrective actions to resolve escalations and customer complaints.
  • Communication Skills – Strong verbal and written communication in English (with French, German, Spanish, or Portuguese as a plus) to articulate information clearly to customers, vendors, and internal teams.
  • Technical Knowledge and Attention to Detail – Familiarity with hardware products, CRM tools, and service management processes, with a sharp focus on accuracy and detail in administrative tasks.
  • Collaboration and Teamwork – Ability to work effectively in a global, multicultural team environment, contributing to continuous improvement initiatives and supporting cross-functional teams.

Qualifications:

  • Proven experience in spare parts planning or supply chain management, preferably in a global environment.
  • Strong proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis) and other MS Office applications.
  • Familiarity with Salesforce or similar CRM/ERP systems.
  • Excellent written communication skills, especially in professional email correspondence.
  • Understanding of spare parts KPIs and how to leverage them for performance improvement.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
  • Demonstrated ability to leverage AI tools to enhance productivity, streamline workflows, and support decision making.

Preferred Qualifications:

  • 7–12 years of experience in spare parts planning or related supply chain roles.
  • Experience in high-tech, medical devices, or industrial equipment sectors.
  • Knowledge of logistics and distribution networks supporting expedited delivery.
  • Familiarity with planning tools or software (e.g., SAP, Oracle, NetSuite).
