The Workplace Technician ensures smooth day-to-day operations across our offices by managing facilities, mailroom services, vendor coordination, and workplace support. This role is hands-on and customer-focused, helping create a safe, efficient, and welcoming environment for employees and visitors.
HOW YOU'LL SPEND YOUR TIME HERE:
- Facilities & Maintenance: Coordinate repairs, liaise with vendors and building management, and organise preventive maintenance plans.
- Moves & Space Planning: Support minor office moves, furniture assembly, MAC (Moves, Adds, Changes), and space reconfigurations.
- Access & Security: Manage access control systems and visitor registration processes.
- Mailroom & Shipping: Handle all incoming and outgoing mail for EMEA sites, including scanning, logging, and redirecting; oversee courier services (e.g., DHL) and shipments of gifts, merchandise, and sensitive documents.
- Event & Meeting Support: Assist with logistics for internal meetings, celebrations, and external visitors, including catering, AV, and room set-up.
- Vendor Management: Coordinate food & beverage, janitorial, and other service providers to ensure SLAs and service standards are met.
- Inventory & Supplies: Maintain office supply inventory and ensure timely restocking.
- Financial Support: Partner with Workplace Management on budgets, expense tracking, PO creation, invoice processing, and accruals.
- Communications & Signage: Monitor and update digital signage and office communication boards.
- Workplace Requests: Address and resolve service requests promptly, providing hands-on support to employees.
- Continuous Improvement: Assist with office renovations, improvement projects, and initiatives that enhance workplace culture and operational excellence.
- Technical Support:
- Troubleshoot and maintain workplace technology systems
- Support video conferencing setups and ensure AV systems function smoothly during meetings and events.
- Monitor IoT-enabled devices for building systems (lighting, HVAC) and escalate issues as needed
WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:
- Experience: 5+ years in workplace operations, facilities coordination, or a similar role.
- Skills:
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- Attention to detail and proactive problem-solving.
- Customer service orientation with a positive, professional attitude.
- Technical Knowledge:
- Proficient understanding of building systems (HVAC, electrical, plumbing).
- Familiarity with AV systems, video conferencing tools, and workplace technology platforms (ServiceNow, Envoy, Microsoft Office, Slack, Zoom).
- Ability to troubleshoot minor IT and connectivity issues in collaboration with IT teams.
- Physical Requirements: Ability to lift up to 20 kg and move office equipment as needed.
