We are seeking an experienced Senior Lease Administrator to join our Real Estate & Workplace team and play a critical role in stewarding the accuracy, integrity, and governance of Cohesity’s global lease portfolio. This role requires a high degree of accountability and integrity, as it owns the systems, data, and processes that ensure our lease obligations are met accurately and on time.
The Lease Administration Manager will work in close partnership with our outsourced lease administration provider and internal stakeholders across Finance, Accounting and Workplace. Success in this role requires collaborating across functions, ensuring transparency and trust in our real estate data, and embodying Cohesity’s RADIO values – Respect & Integrity, Authenticity, Deliver, Innovation, and Customer Obsession. HOW YOU'LL SPEND YOUR TIME HERE:
Key Responsibilities:
Lease Administration & Portfolio Oversight
Oversee outsourced lease administration, ensuring adherence to MSA, data accuracy, and timely deliverables
Maintain ownership of lease abstracts, amendments, renewals, terminations, and related documentation
Ensure rent rolls, CAM, tax, and other recurring charges are accurate and up to date
Conduct and coordinate rent audits to ensure landlord billing accuracy and identify and drive cost recovery opportunities.
Systems & Data Management
Own and administer the CoStar Real Estate Manager (or equivalent) database
Ensure all lease, financial, and critical date data is complete, accurate, and consistently maintained.
Perform regular audits of lease data and rent rolls; identify discrepancies and drive resolution
Partner with internal stakeholders to ensure real estate data supports accounting, FP&A, and strategic planning needs
Financial & Invoice Management
Review and approve monthly rent and operating expense invoices
Partner with Accounts Payable and Finance to ensure timely and accurate payments
Identify and resolve billing discrepancies with landlords and vendors
Drive process improvements to eliminate late payments and reduce manual work
Critical Dates & Compliance
Track and manage all critical lease dates, including rent commencements, expirations, renewal options, termination rights, and notice periods
Proactively notify internal stakeholders of upcoming milestones and required actions
Process Improvement & Governance
Evaluate and improve lease administration workflows, controls, and documentation
Develop best practices, SOPs, and internal controls related to lease administration
Cross-Functional Collaboration
Partner closely with Real Estate, Workplace, Finance and Accounting
Support transactions by providing accurate lease data and post-execution onboarding into systems
WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING:
7+ years of experience in lease administration
Strong experience managing outsourced lease administration providers
Hands-on experience with CoStar Real Estate Manager or similar lease management platforms
Deep understanding of commercial lease structures and lease financials
Proven experience reviewing rent invoices, CAM reconciliations, and operating expenses
Background spanning both tech/start-up and enterprise environments
Experience supporting ASC 842 / IFRS 16 lease accounting
Background in a multi-site or global corporate real estate portfolio
Experience driving process improvements and system optimization
Strong Excel and reporting skills
Strong organizational skills with exceptional attention to detail
Ability to remain calm, proactive, and adaptable in fast-changing or high-pressure environments
A role model for professional conduct, positive energy, and team collaboration
Ability to be on-site 3+ days/week and flexible in supporting after-hours escalations when needed

Disclosure Pursuant to Applicable State Equal Pay Transparency Laws - This position has a starting pay range as listed below. Actual salary depends upon many factors, including a candidate’s skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants. Additionally, full-time employees are eligible to participate in our comprehensive benefits framework, including health and wellness benefits, vacation, paid holidays and refresh days, 401(k) retirement plan, life and disability insurance coverages, and other benefits the Company may offer from time to time.
Pay Range :
The compensation noted above is based on an annualized hourly rate assuming normal full-time employment.
