RingCentral is looking for a Travel Program Support Specialist to join Direct ATPI Global Travel (DT) as a full-time employee. Although Travel Program Support Specialist will be DT’ full-time employee (FTE), this person will be reporting directly to RingCentral’s AVP Global Travel & Mobility. This is a perfect opportunity for someone interested in building or/and developing a long-term career path in the Corporate Travel Management field.

This position can be remote; however, if you are located near Belmont, CA, it will be hybrid.

Expedition Expectations

  • Provide on-going support to RingCentral’s AVP Global Travel & Mobility in maintaining, optimizing and evolving the company’s Global Travel & Mobility Program. Contribute to program’s key objectives including cost-savings, travelers’ experience, compliance and productivity; management visibility, policy control and duty of care (travelers’ security and safety).
  • Support implementation of new travel policy rules, procedures, processes and tools to increase efficiency.
  • Ensure that RC’s negotiated rates/discounts with travel suppliers are properly uploaded in GDS and test these in RC’s Concur Travel OBT; fix any inconsistencies by working with DT’s OBT support and suppliers.
  • Test Concur Travel OBT rules and settings to ensure proper functioning.
  • Proactively collaborate and communicate with RC’s stakeholders in Procurement, Finance, Accounting, HR, Legal, IT, EA’s, etc., as well as with RC’s international office’s travel contacts to accomplish assigned tasks and to ensure interdepartmental and organizational alignment with RC’s Global Travel & Mobility Program.
  • Generate travel reports in the designated travel supplier portals and share with RC’s stakeholders, i.e. AP team.
  • Serve as key point of contact for designated group of travelers (by level) responding to their business travel-related inquiries, policy questions, issues, and concerns.
  • Review policy violations raised by RC’s Accounts Payable team (AP) and approve or reject expense reimbursement based on established internal process. Document all cases in RC’s policy violations tracker.
  • Conduct traveler surveys, analyze results, travelers’ comments and present data in a PP format.
  • Analyze travelers’, EAs’ and RC leaders’ feedback for travel program’s improvements and enhancements.
  • Based on travel reports Identify areas where RC exceeded contractual volume/spend commitments with designated travel suppliers for potential re-negotiations towards even better deals.
  • Maintain ongoing communication with designated travel suppliers keeping them updated on RC’s happenings on quarterly bases.
  • Provide needed support to RC’s Executive Assistants, ensure their full understanding and adherence to RC’s VIP policy and procedures.
  • Make semi-weekly posts in RingCentral’s internal “Safe & Productive Travel” social media group with travel insights, industry news, travel tips, alerts, etc. to keep communication dynamic and group’s members engaged.
  • Work closely with RC’s Global Travel & Mobility team members to jointly fulfill required projects and tasks.
  • Complete assigned tasks, deliverables and projects within the set timeframe.
  • Conduct on-going travel program administrative tasks including but not limited to the following:
    • Resolve corporate travel related problems or issues for a designated group of travelers. Perform root cause analysis, collaborate with DT Global Account Manager, Operations team and suppliers to ensure timely resolutions, update travelers on outcomes.
    • Assist in creating and updating template communication emails for various travel groups.
    • Properly utilize templates to send customized emails based on each situation.
    • Assemble and update existing PP instruction decks, guides, flyers for various travel-related workflows.
    • Retrieve needed reports from travel suppliers’ internal portals such as Airbnb for Work, Uber for Business, Lyft Business.
    • Ensure DT’s mobile apps and other travel tools function properly.
    • Conduct “most compliant traveler” incentive program on quarterly bases; document and distribute prizes to the winners.
  • Meet and exceed set goals, KPI’s, objectives and deadlines.
  • Located inNorthern California (driving distance from RC’s HQ, i.e. Fresno, Sacramento, ) is preferred (working partially from home and 2 days at RC’s Belmont, CA HQ depending on home office proximity).
  • Other remote locations will also be considered.

Passport to Success

  • Bachelor’s degree in business administration, Travel & Hospitality or in a similar field.
  • Minimum 7 year-experience in any of the following sectors: travel & hospitality on the supplier side (hotel, airline), travel agency administration, travel agent, corporate travel management company, vendor/supplier management, procurement, data analytics & reporting, on-line booking tool.
  • Positive attitude with natural drive for taking initiative and getting things done.
  • High level of problem solving and analytical skills.
  • Exceptional organization skills, high attention to detail and laser focus.
  • Technology savvy with extensive knowledge and experience in Excel, Word, and PowerPoint.
  • Excellent, oral, written, customer service, and interpersonal communication skills
  • Ability to execute sound judgment and apply logic in high-pressure fast-paced environment.
  • Flexibility, adaptability to change and ability to handle multiple tasks at the same time.

Going the Extra Mile

  • Knowledge of Concur Travel on-line booking tool (traveler facing as well as backend).
  • Understanding of international travel regulations, global travel protocols, customs, passport and visa requirements, currencies exchange, travel payment and corporate expense & reimbursement practices.
  • Experience in T&E reporting, processing, and data analysis.
  • Industry Certifications: CTC, GTP, CCTE.
  • Bilingual
