The Role

We're hiring an Executive Assistant to work directly with our CEO and co-founder. You'll be the operational engine that keeps the CEO effective and the company running smoothly.

You'll own the CEO's calendar, communications, and operational rhythm while taking on strategic projects that directly impact the business—from hiring coordination to company operations to customer meeting prep. The best way to think about this role: you treat the CEO's time as the company's most valuable resource and you protect it accordingly.

This is a high-trust, high-autonomy role. You'll have visibility into every part of the business—product, strategy, customers, hiring—and you'll use that context to anticipate needs before they're asked.

What You'll Own

  • CEO's time and calendar: Manage complex, high-stakes scheduling across investors, board members, customers, and the leadership team. Prioritize effectively—every meeting has context, an agenda, and clear outcomes.

  • Company operations: Coordinate leadership offsites, all-hands, team events, and onboarding logistics for new hires. Help prepare materials for quarterly board meetings. Be the connective tissue across a distributed team (Seattle, SF, Hyderabad, Chennai).

  • Hiring coordination: Partner with the People team to schedule interviews, manage candidate experience, and keep recruiting moving at startup speed.

  • Communications: Draft emails, memos, and updates on behalf of the CEO—to customers, partners, and the team. You represent the CEO's voice with precision and professionalism.

  • Strategic projects: Research, analyze, and execute on ad hoc priorities. This could range from vendor evaluation to event planning to competitive research to preparing customer meeting briefs.

  • Travel and logistics: Plan domestic and international travel, process expenses, and handle logistics for conferences and customer visits.

What We're Looking For

Experience

  • ~5 years as an EA or operations lead supporting a C-level executive at a tech startup or high-growth company

  • You've supported founders or CEOs through board management and rapid scaling—not just calendar management

  • Comfortable with tools like Notion, Slack, Linear, Google Workspace, and modern collaboration platforms

  • Experience coordinating across distributed teams and time zones

AI-First Mindset

  • You already use AI tools daily—Claude, ChatGPT, Notion AI, Zapier, etc.—to draft communications, summarize meetings, and automate repetitive workflows

  • You're curious about new tools and look for ways to make yourself and the team more productive

  • We're an AI company—we expect our team to live it, not just talk about it

Operator

  • You don't wait for instructions—you see what needs to happen and do it

  • You can juggle 15 things at once without dropping any. You have a system, and it works.

  • Strong written and verbal communication—you'll draft executive emails, meeting briefs, and internal memos

  • Detail-oriented: you sweat the small stuff because you know it matters

  • You move at startup pace
