Spotnana is looking for a proactive, upbeat, and highly organized Executive Assistant to support our Founder & CEO. This is an extraordinary opportunity to be an integral part of building Spotnana. The right candidate will have fine-tuned their ability to exercise sound judgment in a vast range of situations. They are capable of prioritizing and managing multiple projects in a dynamic, ever-changing environment, and are a natural self-starter with strong administrative and analytical skills. A growth mindset will be critical in the role.

Responsibilities

  • Taking ownership of the CEO’s calendar - scheduling, coordinating, and preparing for meetings. Anticipating needs and initiating action with limited direction and astute judgment. Proactively resolving calendar conflicts, to ensure the CEO’s time is spent on the most impactful and important matters, as designated. Ensure preparation for all meetings.
  • Plan and manage complex travel arrangements including air, hotel, car arrangements, VISA, and Covid-19 requirements, plan itineraries, and other scheduling; proactively identify efficiencies for travel.
  • Manage and organize the CEO’s highly complex email including social media (LinkedIn, Twitter) inbox to prioritize and resolve urgent requests and responses.
  • Partner closely with our internal teams to support the planning and execution of important technology announcements related to the executive team
  • Acquire in-depth knowledge of the engineering team and company operations in order to become a trusted advisor for the leadership team to proactively coordinate meetings and logistics.
  • Collaborate and build strong relationships at all levels of the organization, from C-level executives and stakeholders to internal teams and external partners.
  • Drive key team activities (ie, staff meetings, all-hands meetings, off-site & supply ordering)
  • Support ad-hoc office requests, serve as backup to EAs and HR, and support engagement initiatives
  • Wear many hats. You can balance several tasks at once and easily pivot as priorities change. We're a growing startup and we are looking for individuals willing to help where it's needed!

Qualifications

  • 5+ years of experience assisting at the executive level with direct experience supporting a Founder, CEO, CTO, CIO, CISO or C-level executive in a fast paced technical environment
  • Superior organizational and prioritization skills; great follow through on action items and works well in a fast-paced evolving organization and able to pivot when the priorities shift
  • Proficient in G Suite and Microsoft Office
  • Exemplary written and interpersonal skills. Must exercise excellent judgment and diplomacy in all interactions

  • Must be willing and able to work in an open office environment in both San Francisco and Palo Alto (Hybrid) - This is not a remote-eligible role
  • Associate’s degree or equivalent experience

Spotnana strives to offer fair, industry-competitive and equitable compensation. Our approach holistically assesses total compensation, including cash, company equity and comprehensive benefits. Our market-based compensation approach uses data from trusted third party compensation sources to set salary ranges that are thoughtful and consistent with the role, industry, company size, and internal equity of our team. Each employee is paid within the minimum and maximum of their position’s compensation range based on their skills, experience, qualifications, and other job-related specifications.

The annual cash compensation for this role is: $140,000 - $180,000 USD.
